As first-time intranet users, Swedish company Biotage identified the need for a collaborative intranet. They wanted a communications hub that would provide news, information and documentation to its workforce around the globe.
- Industry: Life Sciences
- Country: Sweden
- Company size: 251 – 1,000 users
Starting Point:
Although Swedish Life Science business Biotage had previously used SharePoint for document management, the company didn’t have an existing intranet.
With employees based in over ten countries around the globe, spanning several sectors, it became clear that the company would benefit from a centralized communications hub. The hub would provide easy access to news, information and documents for staff no matter where they are based.
Solution:
Biotage had three key requirements for their intranet.
Firstly, they wanted a cloud-based solution. Secondly, they favored an out-of-the-box solution that could be implemented quickly and easily. Finally, their intranet had to be visually appealing, with an easy-to-use interface to encourage user engagement.
After looking at a number of options, Chief HR & Sustainability Officer Petra Duprez suggested Valo Intranet. Having used Valo whilst working for a previous employer, she thought it would be a good fit for the company.
A conversation with Valo Premium Partner Dapt followed, Biotage learned more about the product and decided it was for them.
Benefits:
- Handy People Finder and My Tool features
- Out-of-the-box solution for fast deployment
- Customizable for branded ‘look and feel’
- Collaborative intranet allows for continued evolution
- Fresh subscription for all the latest Valo and Microsoft updates
- Reduced reliance on email
Fast, flexible, collaborative intranet
From project start to launch, Biotage’s intranet, named ONE Biotage, was live in less than three months, fulfilling one of the company’s requirement for fast deployment.
Traditionally intranets have been seen as the domain of the IT department, but because of Valo Intranet’s flexibility and user-friendly interface this doesn’t have to be the case.
At Biotage, responsibility for the intranet is shared between Chief HR & Sustainability Officer Petra Duprez, who looks after content, and Executive Vice President of IT & Digitalization, Magnus Nordstedt. A number of employees in each region are also responsible for publishing content and overseeing the intranet.
This shared ownership, facilitated by Valo’s flexibility and user-friendly interface, has resulted in a collaborative intranet which can be continually developed and improved.
Handy tools for improved employee experience
With employees based in over ten countries across all regions, Biotage has really benefitted from the useful add-ons such as the People Finder tool, allowing staff to easily find and communicate with colleagues around the globe.
With Valo Intranet you can search for people in different ways. You can search for a name. You can search for a function. Or you can search for project leaders etc. There is also an organization chart so you can actually see who people are and where they are based.
Another tool that has improved employee experience for Biotage staff is the “My Tools” feature. With the ONE Biotage intranet set as the company homepage, the “My Tools” link allows staff to add links to the systems they use on a daily basis, including Microsoft Teams and Outlook.
Improved HR accessibility
Since ONE Biotage launched in late 2020, access to HR resources has been transformed. Content is divided into areas such as learning and development, performance management, talent management, and compensation and benefits.
Employees can also access the latest HR news and information, as well as links to important documents such as policies, processes, forms and templates.
User-friendly intranet inspires employee engagement
Biotage has found that, since the launch of Valo Intranet, employees have begun to inspire each other across different regions of the business.
The International Sales team, which has one of the top three most visited pages on the intranet, began publishing content such as “Employee of the month” and “Best Salesperson”. The popularity of this content inspired other regions to follow suit.
As Valo Intranet has such a user-friendly interface it allows content creators to get on with creating great content without worrying about the technology.
Valo Intranet is an excellent internal communications tool. It is a great way for employees to connect and find out what is happening across the organization.
